How TradeSpan Works

A simple screen-to-screen map from first opportunity through final payment.

1
Lead Intake

Start in Leads. Capture the customer, contact, source, value, next step, due date, or import an emailed ITB.

Related tabs: Leads, RFIs, Takeoff, Estimates, Budget, Bid Outcome, Drawings.
2
RFI Clarification

Use RFIs to ask pre-bid questions about slab condition, patching, moisture, access, phasing, exclusions, and responsibility.

Move to Takeoff once assumptions are clear enough to measure.
3
Takeoff

Use Takeoff to ingest plans, calibrate scale, measure area/perimeter, and organize quantities by polished concrete, epoxy, clean and seal, and overlay scope.

Measure, manage plans, and review the takeoff report before estimating.
4
Estimate Build

Use Estimates to choose catalog services, build bid lines, review margin, add contacts, and send the estimate.

Budget sits beside estimating because the budget is built from the priced scope before documents are generated.
5
Budget and Bid Outcome

Use Budget to shape cost codes and forecast the job. Use Bid Follow-Up and Bid Outcome to chase sent bids, award wins, or archive not-awarded work.

Awarded bids create the Project Workspace, Contract, kickoff task, to-do, and customer-order document.
6
Precon Control

Use Submittals, Drawings, Directory, Correspondence, Documents, and Files to settle awarded-job controls before field work starts.

Drawings stay visible from estimating and precon because plans inform both pricing and execution.
7
Field Execution

Use Projects, Schedule, Deployment, Timeclock, Daily Logs, Production, Punch List, and To-Dos to run the work from one job workspace.

The Project Workspace has quick actions for Message, Document, File, Task, To-Do, Time Entry, and Daily Log.
8
Change and Closeout Control

Production flags turn into Change Orders. Attach proof, pricing, direction, commitments, documents, files, and backup before sending or packaging.

Completion, Documents, and Files keep closeout tied to the same proof trail.
9
Accounting

Use Pay Apps, Invoices, and AR Tracker to manage billing, cash received, outstanding balances, retainage, aging, pipeline value, and follow-up.

AR Tracker is a cockpit over accounting data, not a per-job record table.
10
Dashboard Follow-Through

Return to Dashboard to watch open leads, bids out, RFIs, takeoffs, production flags, change exposure, receivables, document gaps, and workload.

Use generated actions like Award, Draft CO, Bill, Advance, Review, Done, Complete, and Close.

Sidebar Groups

The sidebar is the global map: Estimating, Precon Control, Field Execution, Changes to Closeout, and Accounting.

Context Tabs

The top tab strip only shows screens related to the current page, so users are not forced through one long horizontal module list.

Job Workspace

Open Projects when you need the whole job story in one place: money, status, quick actions, activity, documents, and related records.
